Community Market Coordinator

Time commitment leading up to Fair: 2-3hrs/week
Time commitment on Fair Day: 6-8hrs
Duration: April through August (45hrs in total)
Duties
- Identify, recruit, and coordinate community market vendors (artisans, local businesses, restaurants) for the fair’s marketplace area (outside on the grass).
- Develop and maintain the vendor application intake form and selection process to ensure a diverse mix of offerings that align with the fair’s cultural mission.
- Manage vendor logistics, including booth assignments, setup/teardown schedules, table and power requirements, and signage.
- Communicate market rules, layout expectations, and day-of timelines clearly to all confirmed vendors.
- Coordinate with the Facilities Coordinator and Logistics Coordinator to ensure booth placement, traffic flow, and accessibility requirements are met.
- Track vendor confirmations, fees (if applicable), and documentation using the shared tracking Excel spreadsheet.
- On Fair Day, oversee vendor check-in, troubleshoot any setup issues, and ensure the marketplace runs smoothly throughout the event.
- After the fair, collect vendor feedback to inform improvements for future years.
Market Vendor Relations
- Build and maintain positive, welcoming relationships with vendors, acting as their primary point of contact from initial outreach through post-fair follow-up. This will be a Microsoft Forms Survey.
- Represent the fair’s values and cultural mission when engaging with prospective vendors and community partners.
- Serve as the on-the-ground liaison between vendors and the VNCS team on Fair Day.
